This Privacy Policy (“Policy”) covers the personal information from or about you that is collected, used, and disclosed by Rima Systems LLC (“Rima,” “we,” “us,” or “our”) through tryrima.com (the “Sites”), our mobile applications (the “Apps”) software, and support services which link to this Policy (collectively, the “Online Services”).

This Policy does not apply to other online services, such as mobile applications, that we own, provide, or maintain, but do not post a link to this Policy. Rima primarily collects and processes personal information as a “data processor” or service provider to employers and health plans (collectively, “Clients”). This Policy does not apply to Rima’s processing of personal information as a data processor or service provider. Where Rima serves in such capacity, our Clients are deemed the “data controllers” who determine the purpose and means of collecting and using this personal information and Rima is required to provide our products and services in accordance with our Clients’ contractual provisions and instructions regarding data collection, privacy, processing, and security.

This Policy also does not apply to protected health information that we may process pursuant to the Health Insurance Portability and Accountability Act (“HIPAA”). Information regarding our privacy practices with respect to protected health information under HIPAA can be found in the Notice of Privacy Practices provided to you at the time of collection.

1. Personal Information We Collect

We may collect personal information, which identifies you as an individual, such as if you register for an account to use Our Online Services. Personal information may include, but is not limited to:

  • Account Data: such as account usernames, passwords, and security credential information

  • Benefit & Employment Data: including payroll, eligibility, deductions, census details, employer, and plan enrollee ID

  • Biometric information: such as a voluntary face scan to provide insights on your health dashboard and share to your providers with your discretion

  • Contact information: including your name, email, phone, address, and business contact information

  • Clinical & Wellness Data: including vital signs, lab results, biometric scans, wearable metrics, medication history, telemedicine encounter notes that you provide to us.

  • Demographic information: such as gender, date of birth, age, racial or ethnic origin, marital status, and disability information;

  • Other Identifying Information that You Voluntarily Choose to Provide: This includes identifying information in emails or letters you send us or via self-reported questionnaire

When using our Online Services, information is sent to us automatically by your web browser and through our mobile application through Cookies, as discussed further in the “Cookies and Other Similar Technologies” section. This information typically includes your IP address, the referring URL, the device and/or browser you used to visit Our Online Services, the pages of Our Online Services that you viewed during your visit, search terms entered on Our Online Services, general geolocation data to deliver content based on your location, and details about how you interact with Our Online Services (including screen taps, scrolls, and keystrokes).

We may create aggregated, de-identified or anonymized data from the personal information we collect, including by removing information that makes the data personally identifiable to a particular user. We may use such aggregated, de-identified or anonymized data and share it with third parties for our lawful business purposes, including to analyze, build and improve the Online Services and promote our business, provided that we will not share such data in a manner that could identify you.

We may collect and receive information about you, including personal information, from third parties and combine this information with personal information collected from other sources. These sources may include your employer and your employer’s accountant or service providers.

2. Use and Disclosure of Personal Information We Collect

We use or disclose (such as to business partners, vendors, and other external parties) your personal information for various purposes, including the following:

  • For the purposes described at the time of collection of your personal information;

  • To tailor your experience on the Sites and our other Services, protect the security and reliability of the Services, provide the Services to you, address your inquiries, and provide customer service;

  • To operate, develop, evaluate, and improve our business and Services, including developing new products and features for our Services which may include the use of AI;

  • To provide you with information about us, our products and services, or other products and services in which we believe may be of interest to you, and to provide you with content according to these preferences including through advertising;

  • To meet our legal obligations, work with law enforcement, to comply with laws, regulations, court orders, to assist in investigations to prevent fraud or other harms, to enforce our rights or agreements with other parties, or to enforce our terms, this Policy, or agreements with third parties; and

  • In the event we sell or transfer all or a portion of our business assets (e.g., further to a merger, reorganization, liquidation, bankruptcy, or any other business transaction), including negotiations of such transactions.

3. Cookies and Other Similar Technologies

We and our vendors use cookies, web beacons, pixels, APIs, SDKs, and other similar technologies (collectively “Cookies”) through Our Online Services. Cookies may collect certain information when you interact with us and other online services, across the internet and over time. This information may include your IP address, the referring URL, the device and/or browser you used to visit Our Online Services, the pages of Our Online Services that you viewed during your visit, search terms entered on Our Online Services, general geolocation data to deliver content based on your location, and details about how you interact with Our Online Services (including screen taps, scrolls, and keystrokes).

Cookies are generally used to run Our Online Services, optimize the functionality of Our Online Services and its features, enable security features, personalize content for you, and perform analytics such as to understand how Our Online Services are used. We and external parties may combine certain Cookie information with other information we obtain about you.

Your web browser may have settings that allow you to transmit a “Do Not Track” signal when you visit various websites or use other online services. The Sites are not calibrated to receive these “Do Not Track” signals.

4. Links and Online Features Related to External Parties

Our Online Services may include links to other websites or other features that allow you to interact with technologies provided by external parties. Additionally, you may interact with chat features that use generative artificial intelligence technologies to display information related to your communications with the chat feature. These links and features involve you directly providing information to the external parties that maintain, operate, and own these features. This Policy does not apply to links, features, or other online services that we do not maintain, operate, or own.

5. Your Choices

If you have a registered account on the Online Services, you may be able to manage your personal information in your account settings.

If you prefer to no longer receive marketing emails from us, you may opt out by using the unsubscribe link located in our emails. Please note, upon opting out of marketing or promotional emails, we might still send you transactional or informational emails.

If you no longer wish to provide us information through our Apps, you may uninstall our Apps from your device. Note that this action will not delete your user account or any information we previously collected via the Apps, nor does it affect our information collection on the Site.

6. Data Security

We seek to use commercially reasonable security measures to protect the data that resides on our servers from loss, misuse, or alteration. No security system, or system of transmitting data over the internet, can be guaranteed to be completely secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of how data is transmitted between your computer and our servers.

7. International Data Transfers

If you access our Online Services from outside the United States, please be aware that your personal information may be transferred to, stored, and processed in the United States, and that the data protection and other laws of the United States may not be as comprehensive as those in your country. By using our Online Services, you consent to this transfer, storage, and processing.

8. Changes To This Policy

From time to time, we may amend this Policy to reflect changes in our business or data collection practices. We will indicate such changes by revising the “Last Updated” date above. If we make material changes, we will notify you in a manner proportionate and reasonable to your interactions with us.

9. Minor Privacy

Our Services are not directed to individuals under the age of 16, and we do not intentionally collect or process personal information from children under the age of thirteen (13). If a child under 13 submits personal information to Rima and we learn that the information is from a child under 13 or the personal information was received without consent from the child’s parent or legal guardian, we will attempt to delete the information. If you are a parent or guardian and you believe we have processed personal information of your child under 13, please contact us via the Contact Us information below.
